Role of Good Communication Skills in SSB by Comdt(Retd) A K Madhukar

Role of Good Communication Skills in SSB by Comdt(Retd) A K Madhukar

Having been associated with the selection of Officers in Coast Guard for over five years as an IO, I can say with confidence that good communication skills  does play a role in selection of a candidate. Some may say that this is so obvious however , repeated attempts (sometimes 21 times) by candidates who lack basic communication skills, seem to suggest that importance of good communication skills is not clearly understood.

Power of Expression (POE) being just one of the 15 OLQs, low POE should normally not affect a candidates overall performance, However, problem arises because of low POE affecting other OLQs. No doubt, the assessors are past masters in separating chaff from the grain and ascertain the level of various OLQs to a great degree of accuracy however, the negative bias created by a candidates low POE certainly affects his other qualities to some extent. Theoretically it should not but practically it does.

Role of Good Communication Skills in SSB by Comdt(Retd) A K Madhukar
Now let’s talk about candidates with fluent English not getting recommended in SSB time and again. The reasons for their non- selection can be attributed to lack of substance/content in his conversation and of course, his non-acceptability on the basis of other 14 OLQs.Here again the qualified assessors are able to penetrate the glossy surface and gauge the real depth with regard to various qualities, but generally the bias here is positive unlike the negative bias created in case of candidates with low POE.
In conclusion I would reemphasize on the need for all Defence aspirants to improve their communication skills so as to create that positive bias which would certainly enhance their chances of selection, and even if they are not recommended, their better communication skills will certainly stand them in good stead wherever they go.

Comdt(Retd) Alok Kumar Madhukar hails from a remote village in Bihar. His hard work coupled with his father’s passion for education facilitated his admission in Sainik School Tilaiya(SST) ,one of the premiere schools in Bihar( Now Jharkhand). It was in SST that a rustic village boy blossomed into a confident individual ready to take on the world. Commandant Madhukar joined Coast Guard in 1987 and left Service in2013 after a distinguished service of over 26 years. While in Service, he held several important appointments including the Command of ship and head of a state. Screening Test Day 1 of SSB Interview

Screening Test Day 1 of SSB Interview

Picture Perception and Discussion Test, commonly known as PPDT, is the test conducted on the first day of the SSB selection procedure along with OIR (Officers Intelligence Rate) test. They are very important as they decide whether you would continue with your SSB Interview for the next 4-5 days or would be eliminated on the first day itself.

ssb ebook

Screening Test Day 1 of SSB Interview

In PPDT, you are shown a hazy and somewhat blurred picture and have to write a story relevant to the picture. You have to remain focused as the picture is hazy and is shown for a very short duration ( about thirty seconds). After that you would  get one minute to write down few details which would be followed by about four minutes to write the story which should be around 70 to 90 words.

Screening Test Day 1 of SSB Interview

In the first one minute, mark out the characters and the hero/heroine of your story along with their approximate age and their mood ( happy, sad or neutral). There is a small box provided for doing this. You also have to write the action of your story. This is similar to the gist of the story. After that you have to write a story which should be relevant to the picture shown.

After this, you would be asked to narrate your story in front of your group mates and the GTO. This would be followed by a discussion to select a common story in the group and one person would be elected by the group to narrate that story (usually around 5 minutes are provided for this task).

Screening Test Day 1 Tips:

  1. Always remain focused and try to see exactly what that picture is really showing. Also this will help you to keep the picture in mind when writing your story. As you see the picture and the characters, try to make an outline about your story in your mind.
  2. While perceiving the characters try not to mark more than 2 to 3 characters which should include the hero of the story. Even if they show a mob, only mark three to four characters that look more appealing to you. You have to write their approximate age and their gender (i.e. male or female) and about their present mood (i.e. happy, sad or neutral). Mark their age and mood according to the story whose outline should be in your mind.
  3. Make your own original story relevant to the picture and do not repeat any story that you have read earlier and bear no relevance to the picture frame shown. The basic format should be: a problem arises, the hero solves that problem, hero feels happy about him solving the problem. Don’t forget the last step, it may seem unnecessary but in fact is very important.
  4. While writing the action of your story, use good vocabulary and be up to the point
  5. While narrating your story start like “Friends, in the picture frame that was shown, I perceived…..”
  6. After the narration the group has to arrive at a common story. Be brave to put your points, but don’t be rude and always wear a smile. It is not necessary that the person, who says the group story always gets screened in, so don’t be desperate to say the group story but if you are selected for it never back out.

You will get the results of your PPDT and OIR after a few hours. Those who will get selected will remain back for further processes.

Common Mistakes during SSB Interview

Common Mistakes during SSB Interview

SSB Interviews are the most important part of the selection procedure. In this procedure the candidates are interviewed by a high ranked Officer. The usual interviews duration ranges from about forty-five minutes to one hour. In this interview, the officer asks many questions to the candidates ranging from general knowledge to the candidates personal life. One must remain confident and genuine throughout this process.

People make various mistakes which could be easily avoided. These mistakes include:

Common Mistakes during SSB Interview

  1. Your dressing sense: One must wear formal clothes during this process. Jeans and casual t-shirts should be avoided. Preference should be given to formal pants and shirts. Low waist jeans and other casual ‘stuff’ should be avoided.  Wear clothes that reflect your stronger side not those which show how ‘cool’ you are. Walk in smartly and wish the Office. DO NOT SIT DOWN unless the officer asks you.
  2. Nervousness: Avoid nervousness and remain calm in every situation. The officer wants to see how you handle every question and sometimes sarcasm by the Interviewing Officer. Do not breakdown or cry in front of the Officer. Do not be shy.
  3. Extra Talkativeness: Do not be over talkative. Only answer those questions which the Officer asks. Don’t tell your whole story in every question instead be precise and up to the point. I’ve heard people being over friendly with the officer and asking him question about his journey in the forces and how he got selected etc. Avoid such questions and behavior.
  4. Be Genuine: This is the most important part. Always be true in whatever you answer to the officer. People try to be fake in front of the officer by saying that they are involved in many activities like taking tuitions or playing some sport. The problem arises when you are asked about your daily routine, and your answer doesn’t include any such activity. So, don’t try to be someone you’re not and answer the questions genuinely and with full confident. Try not to use bookish language or idealistic thoughts any time. Be Practical.
  5. Know about Yourself: There are many questions about your personal life and the life of people around you. Know about the profession of your parents and your siblings. You shouldn’t insult your parent’s profession. I knew a guy who, when asked about his father’s profession, replied in an insulting manner that his father owned a small scale newspaper factory. Of course he was rejected.
  6. Speaking: You should always use English language. You must be fluent in English speaking and your voice should be always easily audible. Your tone and manner of speaking should be correct and should never be insulting. Don’t use foreign or fake accent. People sometimes do use fake accent but it sound really bad.
  7. Body posture: Sit straight in the chair with your palms resting on your thighs.  Don’t be sluggish and don’t bend forward or backwards. Don’t always look towards the door. The officer may shake hands with you; give him a tight and cheerful handshake. Always wear a smile on your face and don’t show signs of nervousness on your face and always remain calm and composed.

Indian Coast Guard Organization Structure

Indian Coast Guard Structure

The Indian Coast Guard organization is headed by the Director General (DG ICG) who is located at Coast Guard Headquarters (CGHQ), New Delhi. At CGHQ, he is assisted by four Deputy Director Generals of the rank of Inspector General, and other senior officers heading various staff divisions. The ICG as of now is headed by a naval officer of the rank of Vice Admiral on deputation to the Coast Guard as a direct entry Coast Guard Officer is yet to reach the age/service to become equivalent to Vice Admiral as it is the youngest of all the all Armed Forces started in the 70’s. For effective command and control, the Maritime Zones of India are divided into five Coast Guard Regions, namely, North-West, West, East, North-East and Andaman & Nicobar, with the respective Regional Headquarters located at Gandhinagar, Mumbai, Chennai, Kolkata and Port Blair.

Indian Coast Guard Organization Structure

Indian Coast Guard Organization Structure

The Coast Guard Regions are commanded by Officers of the rank of Inspector General. The regions are further divided into twelve Coast Guard ‘Districts’, one each for the nine coastal states on the mainland, two in the Andaman ad Nicobar Region, and one at Kavaratti in the Lakshadweep and Minicoy Islands.  Each Coast Guard District comprises of one or more Coast Guard Stations.  In addition, there are Coast Guard Air Stations (CGAS) and Air Enclaves (CGAE) for air operations from various locations along the coastline.

  1. North-West Region: The Regional Headquarters (North-West) at Gandhinagar exclusively covers the strategically important maritime state of Gujarat.  The state has its District Headquarters at Porbandar.  This District, commissioned in 1984, is supported by stations at Veraval, Mundra, Okha and Jakhau.  Dornier aircraft and Advanced Light Helicopters operating from Porandar, provide air-support to this region.
  2. Western Region: Apart from Gujarat, the rest of the western seaboard is the responsibility of the Regional Headquarters (West) at Mumbai.  In this region, the Maharashtra coast is a major hub of economic activity.  The area is also sensitive due to location of off-shore oil platforms, and nuclear energy establishments.  Fishing activities in this area extend beyond the traditional fishing grounds, which increased the scope of ICG operations.  Maharashtra has its District Headquarters at Mumbai, and is supported by a helicopter squadron.  The District Headquarters at Goa was commissioned in 1994.  It is home to the first helicopter squadron the Coast Guard (CGAS 800).  The State of Karnataka has its District Headquarters at New Mangalore.  This Headquarters, commissioned in 1990, is engaged in regulating maritime activities along the Karnataka coast.  Kerala has its District Headquarters at Kochi, and the Lakshadweep is monitored and administered by the District Headquarters at Kavaratti. It is close to the Sea Lanes of Communication (SLOCs) followed by a large number of oil tankers, and is therefore a high risk area in terms of oil pollution.  Air support is provided by Dornier aircraft based at Kochi.
  3. North-East Region: The Regional Headquarters (North-East) is located at Kolkata. The entire coast line from Sunderbans to Gopalpur comes under the jurisdiction of the Commander, Region (North-East). There are two District Headquarers, situated at Haldia and Paradip respectively, besides CG Station and one Air Station. Dornier and Helicopter are operated from CGAE, Kolkata for air support to this Region.
  4. Eastern Region: The Regional Headquarters (East) is located at Chennai. The entire coast line from Puvar to Ichchapuram comes under the jurisdiction of the Commander, Region (East). There are two District Headquarters (Chennai & Visakhapatnam), six Coast Guard Stations (Tuticorin, Mandapam, Puducheri, Kakinada, Chennai and Visakhapatnam), one Air Station and one Air Enclave on the eastern seaboard of India.
  5. Andaman and Nicobar Region: The Regional Headquarters (Andaman & Nicobar) is located at Port Blair. District Headquarters No.9 at Diglipur & District Headquarters No.10 at Campbell Bay functions under RHQ(A&N). Smaller stations include Hutbay, Mayabander and Kamorta. There is an air enclave also existing at Port Blair to provide air cover to this Region.
    Indian Coast Guard Organization Structure
By the end of 2012, the Indian Coast Guard is on track to operate:
  • 42 Coast Guard Stations
  • 5 Coast Guard Air Stations
  • 10 Coast Guard Air Enclaves
